Who Is Alma and How Can It Help?

Alma is your on-demand, in-portal assistant designed to make workforce management faster, smarter, and more intuitive. Think of it as a digital colleague who’s always available to handle routine admin so you can focus on the bigger picture.

Currently in beta and available in preview mode, Alma lives in the bottom-right corner of your screen on key pages like New Schedule, Timesheet, and Reports. Simply click the chat icon, type what you need in plain English, and watch it happen – no complex commands or forms required. 

Alma turns everyday tasks into instant actions, helping you improve fulfillment, talent quality, and visibility across every site. 

Need to remove a worker from a shift? Alma can handle that, whether it’s a Flexer, an internal team member, or an agency worker, as long as the shift starts more than 24 hours from now. 

Looking to post a new job or extend an existing assignment? Alma can do that too, managing both “Let Flex Do the Work” and “Individual Flexer” shifts with ease. 

Need to adjust headcount? Alma can add workers in seconds (though remember that reducing headcount within 24 hours isn’t allowed if it means removing someone already confirmed).

Chatting with Alma

Using Alma feels as natural as messaging a colleague – just faster. Alma will guide you step by step, making sure your request is handled correctly. Like any AI, the clearer your request, the faster Alma can act, but even if you’re unsure, just ask. Alma will help you figure it out. You can type requests like “Post a new warehouse operative role for next Monday” or “Add two more Flexers to Friday’s morning shift”, you can even ask it to “Extend the current assignment for all my existing team next week”. Imagine how much time and back-and-forth that normally takes, now Alma can do it for you in seconds!

Always Learning, Always Improving

Alma’s still growing its skills. If you ask for something it can’t do (yet!), it’ll let you know and automatically raise a support ticket so the Flex team can step in. You can also rate each chat with a quick thumbs-up or thumbs-down to help Alma get even better over time.
